WHAT IT IS

One way of working for small projects and large ones.

Project Control manages projects at the level of detail each one actually needs. A straightforward project can be followed on fixed project phases alone. Where more detail is required, milestones are added. For complex projects it goes one level deeper, down to individual activities. The same software covers the small, well-understood project and the large one that needs real project control.

Within a project you track phases, milestones and activities; planned and actual progress; planned and expected end dates; budget, actual cost, commitments and forecast; variations and changes; waiting hours and the causes of delay; risks, issues, actions and decision points; and the deviations against plan, budget and progress.

The financial base data is read in automatically from the finance or ERP system. The project lead maintains the operational information and progress in GUSTY. Depending on the source system and the available connection, information can be written back through an API.

HOW IT WORKS

Five things that change once projects run in GUSTY.

  1. Each project is tracked at its own level of detail

    Phases for the straightforward project, milestones where more control is needed, activities where a project earns that depth. Nobody administers detail that nothing is done with, and nobody loses grip because the only available view was a single bar.

  2. Financials arrive on their own, progress is maintained once

    Budget, actual cost, commitments and forecast are read in from the finance or ERP system, so the numbers in the project view are the numbers in the books. The project lead keeps progress, waiting hours, variations and decisions up to date in one place instead of in a personal spreadsheet — and where the source system supports it, that information is written back through an API.

  3. Every role sees the same project at a different altitude

    The project lead manages their own project and sees the detail they need. A cluster lead or manager follows several projects and project leads without receiving a full detail dump. Management gets the overarching picture: schedule, financial status, capacity, risks and the total project portfolio.

  4. Deviations are recognised automatically

    GUSTY checks continuously where a project is running off plan: a delayed phase or milestone, progress falling behind, a budget overrun on the way, waiting hours climbing, open variations or changes without a decision, an execution start coming under threat, actions or decisions that have been open too long.

  5. The meeting agenda writes itself

    From those exceptions GUSTY builds a targeted structure or agenda for the project meeting. Projects that are on course do not need to be walked through in full every time. The meeting goes to the exceptions, the decisions that are needed and the actions that follow — and those decisions and actions are recorded against the project.

    The projects that deviate, brought forward automatically. Management sees schedule, financial status, capacity, risks and the full portfolio without opening each project in turn.
